Good news. Nothing has been purged. Cynthia wrote a letter on January 6 asking how to archive records. She provided a list of every electronic file and hard copy file she
wanted to either archive or purge. The State Archives told her to send to Archives all budgets, minutes, and annual reports (including those dated 2026) and purge the rest, but it does not appear that Cynthia anything beyond that. She made a representation
in her letter to the Archives that the Board did not execute a resolution when the library transferred to the County. A copy of that letter is attached. She also complained that she hasn’t been told by the County how to archive and there is not enough “time
or technical capabilities” for her to do it.
More good news. Ashley is taking the reigns from this point forward and will handle purging what is supposed to be purged and archiving the rest.

Thank you very much! Once you figure out what was archived versus what was purged, will you please let me know? The timing of Cynthia’s request is unusual given her departure
and it seems odd to archive stuff dated 2022 and 2026. Thank you for letting me know about it. I have shared the same info with the board and the board is equally curious about what asked be destroyed as opposed to archived.
I will look at the meeting meetings this afternoon and report back. Thank you!!

Also – since I am emailing you, I wanted to alert you of a recent issue. Kristy found an email taped to some of the boxes
of records stored in the back room of the lobby. Ms. Lucas was exchanging emails with the Secretary of State Archives division. The email exchange indicated she was transferring some records out to the Archives office in Cheney. She also got approval/permission
from the records retention experts out there to destroy some records she had kept that had no retention value (old vouchers for example). I located the records logs she had saved electronically and verified with the Archives office that the records transfer
did occur at the end of January. They are mailing me the Archives Records Transmittal and Box Content List so we can have it on hand as proof that records were properly transferred to the Archives office. A copy is attached for your review. Apparently,
they had mailed the form to Ms. Lucas back in February but it never made it to me – I am checking with the mail room to make sure they aren’t keeping mail addressed to Ms. Lucas. Regardless, I am going to be tidying up the records issue so we are only retaining
what is necessary. There was also an issue with the format some electronic records were transmitted but I’ll sort that out.
Nothing for you to worry about – but I wanted to make sure you were aware. I am well versed in proper records retention
practices and will make sure everything is taken care of.
